# 2. User management

## User Management

User management on the Datumo platform consists of two steps. First, create an account at the Company level, then add the user at the Workspace level.

#### **Access Scope by Permission**

### 1. Add users and create accounts at the Company level <a href="#id-1.-add-users-and-create-accounts-at-the-company-level" id="id-1.-add-users-and-create-accounts-at-the-company-level"></a>

Company Owners can create platform accounts directly in Global User Management. The created account can later be added to a specific Workspace from that Workspace's User Management.

From the Workspace dropdown in the top-left corner `Global User Management` Click the button.

#### 1-2. Create a new account <a href="#id-1-2.-create-a-new-account" id="id-1-2.-create-a-new-account"></a>

`Global User List`in `+ New Account` Click the button to create the account.

#### **User Type Guide**

This includes permission to create Workspaces and change Global settings.</td></tr><tr><td>Member</td><td>A basic user account. After filling in all fields `Complete`clicking it will create the account.

### 1-3. User List Filter and Sorting

`Global User List`Supports User Type filtering and sorting by User Name.

`User Type` If you select one of All User / Owner / Member from the dropdown, only users of that type will be shown, and to clear the filter `X`you can click X to return to the full list.

For users whose User Type is Member `Member(n)` When you hover over the badge, you can check the list of Workspaces the user belongs to and the role in each Workspace (WS Admin / User). The number in parentheses is the number of Workspaces they belong to.

#### **User Name Sorting**

`User Name` Each time you click the sort button in the column, the sorting method switches in the following order.

Default newest first → Name ascending → Name descending → Default newest first

> ℹ️ Within each type, sorting is by the newest account creation date.

At the bottom of the list `Total User`you can check the total number of users in the Company.

### 1-4. Edit and delete accounts

You can edit or delete the account information of your own account and other users' accounts.

#### **Edit My Account**

In each user row `Edit` click the button to edit the name, password, and User Type of each account.&#x20;

However, if you change the User Type from Owner to Member, all Workspace access permissions for that user will be deleted. After the change, you must set permissions again for each Workspace.

**Password Reset**

`Edit Account` In the modal `Reset Password`a temporary password is automatically issued.

The issued temporary password can be `Copy` copied with the button. Users who log in with a temporary password must set a new password on their next login.

#### **Delete Account**

`Edit Account` at the bottom of the popup `Remove Account`click to delete the account.

In the deletion confirmation message `Delete Account`click to delete the account.

## 2. Workspace-level user registration and management

Users already in the Company can be directly added at the Workspace level.

### 2-1. Creating a User in a Workspace

**Required permission:** WS Admin or Company Owner

`Workspace User Management` at the top right of the page `+ Add User to Workspace` button. If there are no registered users, the `+ Add to Workspace` button in the center of the screen can also be used to enter.

`Add to Workspace` In the modal, select the users to add. You can search by name or User ID, and select multiple users at once. `Complete`Click to add the selected users to the Workspace.

You can register users by selecting the users to add to the Workspace from the loaded User List.

> ℹ️ Users added to a Workspace for the first time are granted WS Admin permission by default, with access to all pages allowed. After adding, `Edit Role`you can change it to User.

If all users in the Company already belong to that Workspace, the list will be empty. To add new users, first create accounts in Global User Management.

### 2-2. Editing and deleting User permissions

`Workspace User Management` In the list, you can check each user's User Type, accessible Applications, and whether Annotation Queue access is allowed. To change permissions, click `Edit Role` Click the button.

`Edit Role` in that user's row to set the User Type to WS Admin or User.

If set to User, the Application Access and Workspace Access items appear, and you can individually configure access permissions with toggles.&#x20;
